I know what I'm doing without spiraling. Done by 5. Nothing falls through.
I need this to be the thing that finally holds all of me. I'm tired of being the bottleneck. Tired of every idea, every client, every follow-up, every launch living in my head — and then leaking out my ears at 11pm when I realize I forgot to send the thing, prep the thing, or be a person today. The core job? Stop making me re-decide everything every day. I don't need more strategy. I have strategies coming out of my eyeballs. I need a system that remembers what I decided last Tuesday so I don't have to rebuild my brain from scratch every Monday morning. The pain it eliminates: The 47 open tabs in my head that never close The Sunday-night dread of not knowing what's actually on fire The shame spiral of "I'm smart, why can't I just do the thing" The feeling that my business is running me instead of the other way around That specific flavor of burnout where you're succeeding on paper and quietly drowning in private I don't want a prettier to-do list. I want to stop white-knuckling my own life. I want my business to feel like mine again — not a second job I accidentally hired myself for. That's the job. Hold my ambition without crushing me under it.
Honestly? Mostly me. That's the part nobody talks about. I'm the one staring at this thing at 6am with coffee, trying to figure out what I'm actually doing today. I'm the one opening it at 9pm to dump the idea I had in the shower so it stops haunting me. If it doesn't work for me, in my brain, on my worst day — it doesn't work at all. But here's where it gets layered: My clients see slivers of it. The polished edge. Their portal, their deliverables, the part that makes them feel like they hired a real operation instead of a one-woman circus. They don't see the mess. They shouldn't. But what they see has to feel cohesive — like I actually have my act together (because I do, I just need the system to prove it). My team (current contractor, future hires) needs to be able to walk in and find things without me explaining where every single thing lives. If onboarding a VA takes me three weeks of Loom videos, the system has already failed. Future me is also in the audience — and she's the most important one. Six months from now, when I've forgotten why I made that decision or what I promised that client, the system needs to tell her. Past-me should be future-me's best employee. Nobody else. Not my boss (I don't have one, that's the point). Not my mom. Not the internet. This isn't a performance. So the template needs to do double duty: private enough to hold the mess, polished enough to share the slice. That's the audience.
In 30 seconds, I should be able to walk up to this system and decide: "What am I doing right now, and what can wait?" That's it. That's the whole game. If I have to scroll, dig, or click into three layers to figure out where my attention belongs, the system has already lost me. The decisions I need to make fast: Today — what's the one thing that actually moves the needle, vs. the noise I feel obligated to do? This week — am I on track for my real priorities, or am I about to Tuesday-myself into a Friday meltdown? This client — where are we, what did I promise, what's next, and am I behind? This idea — does it go in the parking lot, or is it actually a thing I'm doing? My capacity — do I have room for this new yes, or am I about to over-commit again? My money — am I okay, or do I need to make a sales move this week? And the meta-decision under all of them: "Can I close my laptop and go live my life, or is there a fire?" If the system can't answer that in 30 seconds, I'm going to keep working until 10pm "just to be safe" — which is the exact pattern I'm paying to break. So the test is brutal: Open the system. Count to 30. Did I just make a decision, or did I just collect more anxiety? If it's the second one, the system is decoration. I don't need decoration. I need a decision engine.
30 days in, here's what success actually looks like — not vibes, receipts: My week opens itself. Sunday night, I sit down for 20 minutes (not 2 hours). The week is already 80% built. I'm reviewing, not constructing from scratch. I close the laptop by 8pm with a plan I actually believe in. I've stopped losing things. Zero "wait, where did I put that?" moments this month. Every client doc, every idea, every promise has a home, and I can find it in under 15 seconds. I can prove it: my search bar usage is down 60%, my "frantically scrolling Slack" time is essentially zero. My inbox isn't my to-do list anymore. Email gets processed in two 20-minute blocks a day. It's not where my work lives. It's not where decisions happen. I close it and the work still gets done. I've said no to at least 3 things I would've said yes to a month ago. Because the system showed me, in black and white, that I didn't have room. Not "I feel overwhelmed" — actual capacity numbers. Receipts. Clients feel the difference before I tell them. At least one unprompted "wow, you're so organized" or "this feels really dialed in." Renewals or upsell conversations are happening because the experience is tight, not because I'm hustling for them. I've had two genuinely lazy afternoons. Not "lazy but anxious." Actually lazy. Phone down. Guilt-free. Because the system was holding the line so I didn't have to. Revenue is steady or up — and I worked fewer hours. This is the real proof. If I'm making the same (or more) money in fewer hours, the system is doing its job. If I'm working harder for the same number, it's a pretty toy. My nervous system has dropped a gear. I'm not waking up at 3am running through my mental to-do list. My shoulders aren't living next to my ears. I notice I'm... breathing? Like, normally? Wild. The 30-day test: A friend asks "how's business?" and instead of the panicked monologue, I say "actually, really good" — and I mean it. I'm not performing okay. I am okay. That's the picture. If I'm not there in 30 days, the system isn't working — I am, and that was never the deal.
I need this to be my second brain. I need it to be a place where I can dump all of my personal thoughts, ideas, habits, and journals as a knowledge base just for me personally and for my business. I also need it to be my business operating system and second brain as well. I needed to keep track of all of my projects and tasks, my clients that I'm currently working with, and my prospective clients. I needed it to help me figure out all of those things. It might need to do my content calendar, my SOPs, all of it.
Just me. I might be hiring an executive assistant or some consultants who might go into the system in the future and then I do plan on using client portals.
I mean what projects are behind, what the priorities are for the day, the status on projects, the status on clients, client reminders. There's going to be SOPs inside of it. - What content needs to be worked on for the day? - What essays need to be written? - Where we're at with campaigns? So on and so forth.
I think working is going to look like me being able to sit down at my desk every morning and know what needs to be worked on: - where I left off with things - what clients need to be followed up with - what content needs to be created that week I shouldn't have to remind it of things all the time. I need to have the ability in the Notion template to create my AI assistant and my AI structure so that it knows my business and what we are working for in my business, what our priorities are, what my voice is, and what my business stands for. It needs to have all of that. So like not having to remind it because it's already in the system
I need this to be like my second brain. I need to be able to track client projects so nothing falls through the cracks so I can see statuses at a glance. I also need to be able to track my own personal projects. I need to be able to track content creation and people who are in my CRM and that I need to follow up with. I want to be able to use it for things beyond business. I want to be able to use it for habits and knowledge base and stuff like that. I want it to literally be like me externalizing all the shit that bounces around my brain elsewhere.
It's mostly going to be me. I am a solopreneur so it's pretty much going to be me. I'm potentially going to hire consultants or an executive assistant in the future but it's really just going to be me. I will be doing client portals inside of the space so if it had that built in, that would be amazing.

I've had vast reductions in missed deadlines. I can't say zero missed deadlines but if there's something built into it that keeps me from over-scheduling myself, I think that would be amazing. I think it working would look like me just sitting down every day and knowing: - what I'm working on - what the focuses of the day are - what content needs to be created - what people need to be followed up with - what client work I need to focus on That would be ideal for me.
